Privacy

How we look after the information you give us. Last updated 27 October 2026.

Who we are

This site is run by Together Inspiring Memorable Events Society (TIME Society), a volunteer-led nonprofit society in Coaldale, Alberta. Questions about your information go to info@timesociety.ca.

What we collect

Your account: your email address, and your name if you sign in with Google. We ask Google only for your name, email address and profile picture, nothing else.

Your family: the names and birth years of the runners you register, a phone number for race-day emergencies, how you want names shown in results, and the waiver you sign (your typed name, the date, and the waiver version).

Race day: bib numbers, waves and the times recorded at the start, checkpoints and finish.

Purchases: if you buy entries on Zeffy, we import the order (buyer email, name, quantity and amount) to match it to your family. Payment details stay with Zeffy; we never see card numbers.

Board members: records the board files in its private library, and a log of who opened or changed them.

How we use it

To run our events: registering runners, assigning bibs and waves, timing, and publishing results.

To reach you about an event you registered for, or in an emergency on race day.

To report on our events and to funders using totals only, never names.

We do not sell your information, share it with advertisers, or use it for anything unrelated to TIME Society events.

What is public

Race results show each runner the way the family chose: full name, first name and last initial (the default), or bib number only, with an age category. Birth years are never published.

Everything else is private to your family and to the board members and volunteers who run the event. Timing volunteers see bib numbers only.

Where it is kept

Our database and files are hosted by Supabase in Canada (Montreal). The site is served by Vercel. Sign-in with Google is provided by Google. Each of these companies processes data only to provide its service to us.

Access is controlled in the database itself, so each person sees only what their role allows.

How long we keep it

We keep registrations, waivers and results as long as the board needs them for the event, its insurance and its records, under a retention schedule the board adopts. Signed waivers are kept and cannot be edited.

You can ask us to delete your account and your family information that is not part of a past event’s records by writing to info@timesociety.ca.

Cookies

We use a cookie only to keep you signed in. There is no advertising or tracking.

Your choices

You can change how names show in results, update your family’s details, and ask to see, correct or delete your information at any time by writing to info@timesociety.ca. If you are not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner of Alberta.
